
Time is a valuable resource, and making the most of it is key to a productive workday. Effective time management helps you stay focused, complete tasks efficiently, and reduce stress. By incorporating these four techniques into your routine, you can boost your productivity and make each workday more impactful.
1. Set Goals and Make Plans
Setting goals is essential because it helps create a vision for what you want to accomplish during the day. Once you have your vision, you can start breaking down the steps required to achieve it. This applies to any aspect of life, but can be especially helpful as you tackle various goals and projects within the workplace.
2. Be Prepared: Prioritize
The night before or the morning of your workday, make a list of tasks you need to complete and consider the importance of each task. Using the Eisenhower Matrix, determine how urgent and important each task is. This will decide its priority on your list.
Urgent: Need to complete sooner rather than later
Not Urgent: Can wait for a later time
Important: Significant, valuable
Not Important: Not significant, of lesser consequence

This thought process will help you decide when and how certain tasks should be completed. For example, if a task is both Urgent and Important, it is best to prioritize that task and complete it immediately. If a task is Urgent but Not Important, consider delegating it to a team member. 3. Block Time
Once you have your set of predetermined and prioritized tasks, you can now schedule your day around which tasks you've decided hold the most importance and urgency. Block time accordingly using apps and planners. Give yourself designated amounts of time to complete each task and work within the limits you set. This approach helps prevent burnout and ensures you have sufficient time to complete all the tasks you need to accomplish that day. Remember to set aside about 5-10 minutes of break time after tasks to give your brain a rest and avoid burnout. Use timers if needed to help you stay on schedule.
If you prefer not to set time blocks for specific tasks but still want help focusing on them, set a 25-minute timer and work until it goes off. Take a five-minute break and then start again, resetting the timer for another 25 minutes. This is called the Pomodoro Technique. Once you’ve completed this cycle four times, take a more extended break. You can adjust this method as needed and to your preference. For example, if you know you work better in blocked-off hour increments, schedule your work accordingly with adjusted breaks to maximize productivity.
4. Minimize Distractions
Even while prioritizing and blocking your time efficiently, you won't reach full productivity if you don't eliminate distractions in your workspace.
This will look different for everyone, but some examples of minimizing distractions include:
- Closing unnecessary tabs on your computer
- Moving to a quieter space to work
- Using “Do Not Disturb” or “Focus” settings on your devices
- Putting your phone away and only pulling it out again during breaks or for task-related reasons
- Communicating with others when you need uninterrupted work time
It’s also essential to keep your desk or workspace clean and organized. This helps reduce stress and focuses your attention on the tasks at hand. If you do get distracted, redirect your attention to your list of priorities to get back on track.
